Terms of service

Last updated: October 4, 2026

These terms govern use of Aurabase, the patient operations platform at aurabase.io and its clinic subdomains, operated by Stack Digital. By creating an account, accepting an invitation, or using the service you agree to them on behalf of yourself and, where applicable, the clinic you work for.

Accounts and clinics

  • Each clinic is a separate organization with its own address, users and data. A clinic admin controls who has access and what role they hold.
  • Accounts are personal. Keep your password private, sign out on shared devices, and tell your admin at once if you believe an account is compromised.
  • You must be authorized by the clinic to act on its behalf and you are responsible for activity under your account.

Protected health information

Clinics using Aurabase to store or process protected health information are covered entities under HIPAA, and Aurabase acts as a business associate. A Business Associate Agreement is entered into with each such clinic and forms part of these terms. Where the BAA and these terms conflict with respect to protected health information, the BAA controls.

  • Only enter patient information you are permitted to collect and use.
  • Use the roles provided so each team member sees only what their job requires.
  • Report any suspected unauthorized access or disclosure to us without delay.

Acceptable use

Do not attempt to access another clinic's data, probe or overload the service, share credentials, upload malicious content, or use Aurabase in a way that violates law or the rights of patients. We may suspend accounts that do.

Subscriptions and billing

  • Access is sold as a subscription per clinic, billed in advance through Stripe on a monthly or yearly cycle, and it renews automatically until cancelled.
  • A clinic admin can cancel at any time. Access continues to the end of the period already paid for, and fees already paid are not refunded except where the law requires.
  • We will give notice before a price change affects a renewal.

Your data

The clinic owns the data it enters. We store and process it to provide the service and as described in the privacy policy. A clinic may request an export of its data at any time, and we delete clinic data after a reasonable period following termination except where retention is required by law or by the BAA.

Availability, support and changes

We work to keep Aurabase available and backed up, and we may change or retire features as the product develops. We will give reasonable notice of changes that remove functionality a clinic relies on. Support is provided by email and during onboarding.

Termination

A clinic may end its subscription at any time. We may suspend or end access for breach of these terms, for non-payment after notice, or where required by law. Sections on data, liability and governing law survive termination.

Liability

Aurabase is an operations tool and does not provide medical advice or make clinical decisions. To the extent the law allows, the service is provided as is, Stack Digital is not liable for indirect or consequential losses, and its total liability to a clinic is limited to the subscription fees that clinic paid in the twelve months before the claim. Nothing in these terms limits liability that cannot be limited by law.

Governing law

These terms are governed by the laws of the State of Missouri and the United States, without regard to conflict of law rules.
